Booking.com is currently looking for a world-class Spend Management Specialist - Legalprofessional to focus on spend management solutions to bring efficiency and cost savings to the Legal and Public Affairs (LPA) Department.
With oversight from the Legal Operations Lead, the successful candidate will be responsible for all aspects of spend management for the department, including implementation of e-billing software, budget oversight and tracking, external vendor management, and managing invoice review/billing procedures. The role requires an organised, detail-oriented, and highly efficient individual with great interpersonal and problem-solving skills.
As the Spend Management Specialist - Legalyou will:
Partner with and support the Legal Operations Lead on priority projects related to spend management, including:
Implement, oversee, and manage, from the ground up, an e-billing program (coordinating with relevant stakeholders, such as Finance and Procurement)
Monthly review/audit of legal invoices, including accruals and spend report preparation with Finance
Day-to-day billing and spend management support to LPA team
Develop and provide training for Legal & Public Affairs team on e-billing solution and spend management best practices
Provide oversight to external vendor billing:
Communicate with external vendors (primarily outside law firms) on billing guidelines, e-billing, and monthly accruals process
Respond to vendor communications related to spend/invoicing
Utilise creative thinking to identify opportunities to reduce external vendor spend
Assist the Legal Operations Lead with the development of annual budget plans, including building the business case and demonstrating ROI for annual budget requests. You will be an integral part of the budget-setting process, responsible for providing insight and data to support the budget request
Manage the Legal & Public Affairs department’s annual budget, coordinating closely with Finance department and Directors within Legal & Public Affairs
Act as front-line responder to requests within the department related to invoicing, billing procedures, and Purchase Orders (including creation of Purchase Orders)
The ideal Spend Management Specialist - Legal will have:
Bachelor’s Degree or equivalent of education and related experience
3+ years’ experience in Finance or legal operations, or comparable legal administration and/or financial management
Knowledge of and demonstrable experience implementing and/or managing legal e-billing systems
Experience working with and managing outside counsel / vendors is preferred, or familiarity with legal spend
Strong business and financial acumen, including familiarity with basic financial accounting principles (e.g. accruals)
Experience working with budget management, such as invoicing, Purchase Orders, accruals
High innovation: the ability to meet complex challenges and limitations with innovative solutions, taking into account all that is possible, and not being daunted by all that is not
Very strong organisational and project management skills: capable of handling multiple projects/initiatives simultaneously and executing to completion
A natural problem-solving and strategic mindset: someone who is comfortable with ambiguity and able to bring structure to challenging situations
The desire to always looking for opportunities to eliminate manual work and determine where operational efficiencies should be addressed
A natural way of working with and influencing multiple senior and junior stakeholders to drive projects to completion
Fluency in English with proven strong communication skills complemented by a particularly clear and concise written communication
