    Secretary / Administrative Assistant – 6 months Parental cover

    Key Tasks and Responsibilities

    In supporting the local HR Representative, you will in charge of a broad range of administrative support:

    • Handling of telephone calls: answering queries on HR administrative requests and rules from staff and external entities;
    • Leave management of ESTEC HR staff;
    • Preparation of holiday overview for all ESTEC HR (staff and contractors);
    • Performing of routine administrative tasks;
    • Organisation of complex internal and external meetings;
    • Being in charge of offices accommodation and offices supplies;
    • Monitoring the mission's budget;
    • Liaising with HIF-H and Head of Establishment secretaries;
    • Organise team social events, training and workshops;
    • Processing missions for HR Local Representative, HR Business Partners, HR Advisors, confidential missions by staff and where applicable retired staff;
    • Handling of incoming mail: registration and distribution;
    • Support the HR Business Partners (HIF-HT, HIF-HN):
      • Coordinating and monitoring of the team’s activities;
      • Managing HR Business Partner’s calendars, organising and preparing meetings and keeping them informed of issues during their absences;
      • Filing HR Business Partners documents and filtering their calls;
      • Following their actions in a pro-active manner;
    • Assist the Human Resources Advisors in the following:
      • Managing their calendars;
      • Filtering their calls when in meetings or missions.

    Skills & Experience

    You will have the following qualifications and relevant experience:

    • The holder shall have successfully completed secondary education and possess proven professional skills in administrative and/or secretarial activities:
    • Ideally, you have completed a vocational education in secretarial domain;
    • You are highly proficient in the use of Microsoft Office Software;
    • Proficiency in ESA IT tools is an asset.
    • You demonstrate excellent organisational and communication skills, and you are able to establish and maintain effective and pleasant working relationships in an international environment and under high pressure;
    • You are pro-active and assertive and able to prioritise;
    • Fluency in English is mandatory; knowledge of another European language, especially French is an advantage.
