For our location at the Westerlaan in Rotterdam we are looking for a Management Assistant Vopak LNG.
At this moment in time, LNG is the main fuel facilitating the energy transition in many countries in the world.
The LNG Division of Royal Vopak operates four terminals, of which two are land based and two are floating. The onshore terminals are GATE terminal in Rotterdam, the Netherlands and Terminal LNG Altamira, Mexico. In Port Qasim, Pakistan we are partnering with Engro in a floating regasification terminal and in Colombia we have a share in SPEC terminal in Cartagena. Next to our four operational terminals we are engaged in three projects in Zhangzjiagang, Hamburg and Hong Kong. We are aiming to expand our footprint in LNG infrastructure business worldwide and foresee significant growth for the coming years.
Your three main missions
Youll support a dynamic international team;
Youll arrange flights, accommodation and travel documents;
Youll actively contribute to Vopaks growth ambition in LNG;
How will you do this?
The purpose of the job is to execute all necessary secretarial activities in close cooperation with three other Management Assistants. The total group worldwide consists of about 50 people. Most team members are located in Rotterdam and part of the commercial team is in Singapore with the support of a local Management Assistant. You will report to the General Manager LNG.
Yo ur main activities and responsibilities will be:
Provide support to the team members working in our office in Rotterdam, by answering questions and solving problems, signaling important and urgent matters, prioritize main- and side issues, check progression and follow up on running and to be handled business;
Provide secretarial and administrative support;
Organize (inter)national trips and travel, including necessary hotel and transfer arrangements and visas;
Prepare correspondence, collect and process information and documentation;
Take care of in- and external communication: ensure timely handling of (e-)mail messages, telephone, distinguish between urgent and important matters, connect to other relevant department members or departments;
Organize several internal/external events and take care of the execution;
Organize proper set up of systems and workplaces;
Organize external meetings, lunches etc.
We are looking for:
Minimal MBO education, with experience in a supporting secretarial job, preferably in an international environment;
Fluent in English, both verbal and written;
Strong customer focus and excellent communication skills;
Knows how to relate to different people in all levels of the company, and can build connections with our colleagues worldwide;
Able to be discreet and handle confidential information with the greatest sensitivity;
Strong knowledge of MS Office and Google preferred;
