    Management Assistant - Corporate Intellectual Property

    Job Mission

    As Management Assistant, you support several ASML managers, enabling them to focus on their core business. Efficiency and collaboration are the key drivers in execution of this mission. You are the linking pin between management and the various departments and other stakeholders.

    Job Description

    Together with your team, you provide high-quality services to a number of staff members of the Corporate Intellectual Property (CIP) department. You pro-actively follow up with the managers to meet their needs and ensure problems are solved in a timely manner. You work closely together with other CIP department assistants.

    As a MSO Management Assistant you manage and take ownership of your work. You demonstrate a strong drive to achieve meaningful results and show determination in facing obstacles. You pro-actively share information and provide feedback to others. You understand the importance of sharing knowledge and looking for opportunities to optimize the daily work.

    The tasks of the Management Assistant include:

    • Calendar & meeting management: Effectively and efficiently manage (own) the agenda of your managers. Booking rooms and facilities.
    • E-mail management: Pro-active screening and sorting inbox. React to e-mails; filter out what you can do. Prioritize and make your managers aware of certain topics that come up.
    • Communication: Send out announcements, newsletters, reports etc. Function as first point of contact for questions or requests from internal and external parties to appointed managers or department. Liaise with various stakeholders in the company as well as with visitors, customers, suppliers and/or external relations.
    • Travel & expense management: Optimize travel of high complexity in different time zones, think ahead and take decisions. Prepare travel expense reports.
    • Meeting preparation and participation: Organize and coordinate meetings (e.g. workshops, events) of the assigned department or managers, take and distribute minutes and action lists.
    • Project and year planning support: Involved in assigned projects. Acquire overall knowledge of the department year plan, activities, projects and daily priorities in order to ensure smooth information and work flow. Secure the quality.


    You have completed bachelor degree (HBO) or similar level based on work experience.


    5 - 10 years relevant work experience preferred in an international environment.

    Context of the position

    Within ASML Veldhoven, the Management Support Organization is organized in one central department. This department is part of the President’s Office (PO).
    The MSO consists of six clusters of various departments. Each cluster is managed by a Team Lead.
    You will work as a Management Assistant in the MSO General Sectors Cluster and report to the Team Lead of this cluster.

    The CIP secretariat interacts with stakeholders throughout the entire ASML organization. You will work closely together with 1 other assistant to deliver high level support for the complete senior management team of CIP and to arrange a perfect back-up service.
