We are looking for an executive assistant at CG45 reporting into an (EL2B) Executive.
You are responsible for
Acting as the point of contact between the executives and internal or external colleagues
Organizing meetings and booking meeting rooms
Handling correspondence directed to managers
Making travel arrangements and detailed travel itineraries
Taking dictation and minutes and writing them up subsequently
Producing reports and presentations
Maintaining the current filing and database system, and looking for ways to improve current systems
Preparing statements, reports, memos, invoices letters, and other documents.
Answering phones, e-mails and routing to the correct person or taking messages.
Handling basic bookkeeping tasks.
Filing and retrieving corporate records, documents, and reports.
Researching and conducting data to prepare documents for review and presentation by business leader and executives.
Helping prepare for meetings.
Greeting visitors and directing to the correct meeting rooms.
Using various software, including word processing, spreadsheets, databases, and presentation software.
Reading and analyzing incoming memos, announcement, submissions, and distributing them as needed.
Performing office duties that include ordering supplies
Experience as a virtual assistant.
Opening, sorting and distributing incoming emails, and other correspondence.
Provide general administrative support.
To succeed in this role, you should have the following skills and experience
Relevant education with a minimum of 6- 8 years of work experience as an Executive Assistant in a fast-paced, dynamic, international environment;
Ability to multitask and prioritize tasks
Excellent time management skills
Well-developed organizational skills
Attention to detail
Great verbal and written communication skills
Proven experience as an executive assistant or other relevant administrative support experience.
In-depth understanding of entire MS Office suite.
High school diploma.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Fluency in English
Experience with working with international teams
Flexible to work across different time zones, which may require supporting meetings or business needs outside commercial working hours if needed
