    Administrative Assistant Vaccine Launch Facility @ Janssen

    The Vaccines Launch Facility:

    The Vaccine Launch Facility (VLF) is a state-of-the-art vaccines GMP manufacturing facility located at the Bioscience park in Leiden, where we produce vaccines against infectious diseases, such as HIV RSV. The VLF is designed to manufacture drug substance on a 1000 L scale for Phase III and commercial purposes. As a response to the global COVID-19 pandemic the VLF has been appointed as one of the production sites for Janssen’s lead vaccine candidate for COVID-19.

    The Administrative Assistant supports one Director, in numerous diversified areas and activities and support the Department and specific managers of the VLF in specific tasks.

    Principal Duties and Responsibilities for the Director:

    Tasks and responsibilities for the Director include, but are not limited to, secretarial and administrative activities such as scheduling appointments, coordinating meetings, filing expenses, following Company compliance procedures, preparing documents and meetings etc. She/he will master the internal J&J processes and Standard Operating Processes (SOP) and manages flawless execution.

    • Administrative and project-based support
    • Excellent at pro-actively managing calendars and email inboxes
    • Secretarial duties such as preparing and coordinating meetings, document management, etc.
    • Handle legal documents and matters of a highly confidential nature
    • Responding to external and internal enquiries
    • Coordinating meetings as and when required (invites/booking meeting rooms/prepare presentations)
    • Expense and budget management (invoices/PO requests).

    Principal Duties and Responsibilities for VLF/ managers:

    Tasks and responsibilities for the VLF and specific managers includes secretarial and administrative activities. Takes initiative to follow up on relevant issues and informs manager of status as well.

    • First contact for the mailroom, IT department and the facility department and source of information
    • or the entire department regarding these departments/processes and coordinator for changing workplaces
    • Coordinating Team Projects as and when required
    • Advisor and manager of internal communication resources (SharePoint) and responsible for keeping it up to date
    • Manage and purchase the necessary stationary/office supplies for the whole department
    • Responsible for the onboarding of the new hires (order necessary office supplies and access pass) and invites for the introduction day and 2-days training.
    • Planning and linking (in Compliance wire) the employees according to the individual training plans in consultation with the employee and supervisor.

    Qualifications
    • Experience in an administrative role at management level is required
    • Bachelor’s degree in office management or equivalent is a plus
    • Outstanding written and verbal communication skills in Dutch and English
    • Excellent solid understanding of MS Office & Office 365
    • Prior experience with budget platforms is a plus (Ariba, e-marketplace)
    • Desire to learn and master new technologies is required
    • Excellent interpersonal skills and ability to effectively manage different priorities
