Position Summary
The Warehouse Team Leader will ensure the smooth running of World Courier's Amsterdam (Hoofddorp) warehouse team and duties on a daily basis. Overseeing the team to ensure:
- Process shipments that pass through the World Courier warehouse facility at Amsterdam quickly and efficiently whilst paying attention to detail.
- Managing workload and responsibilities of the warehouse team
- Ensuring compliance with all cold chain requirements
- Communicating with other departments to ensure shipment deadlines are met.
- Managing the development of team members in conjunction with the Dispatch and Warehouse Supervisor
Team Leadership Responsibilities
- Observe and evaluate workers & vendors performance and to offer assistance where required. Identify any possible non compliant situation and inform to the line manager immediately.
- Ensure staff & Vendors are up to date on all aspects of their role and are fully trained in their disciplines. All new guidelines and technologies are to be immediately implemented.
- Keep staff & vendors regularly informed of any new operational issues which may impact on their role
- Conduct regular meetings to discuss the running of the Warehouse team i.e. how people are doing, identify areas of weakness and what can be improved upon. Also comment people on their achievements if appropriate
- Regularly provide individual feedback to the Warehouse team members and document this feedback instances properly.
- Conduct and document annual appraisals with all staff.
- Ensure all staff are up to date with current guidelines and all SOP’s are completed within set time parameters.
- Ensure CAPA’s and Event note levels stay at a minimum.
- Ensure CAPA’s are investigated, managed, implemented, and responded to in agreed timelines
Warehouse and Cold Chain Responsibilities
The Warehouse Team Leader will be responsible for carrying out the below responsibilities, as well as leading the rest of the team in these:
- Load and unload vehicles, utilising the correct equipment to do so.
- Verify deliveries upon receipt.
- Keep records of temperature in cold storage rooms (fridges, freezers and controlled ambient rooms).
- Manage cold storage materials and supplies (gel packs, dry ice,… ).
- Prepare packaging for collections by reading pick-up instructions from jobs.
- Perform a weekly stock check of packaging materials and re-order if necessary.
- Ensure that the warehouse remains clean and tidy – inside and out – at all times, including cold storage rooms.
- Replenish dry ice and ensure that clients/other WC offices are charged correctly for it.
- Replenish gel packs correctly, paying attention to the packaging diagrams.
- Cleaning and record keeping of multiple use packaging material.
- Read temperature results and send data to customers and other stations.
- Report any shipments that arrive into the Warehouse that may have been damaged in transit.
- Ensure the premises are secure, by keeping shutters in place and challenging anyone without a valid World Courier I.D or visitors pass.
- Maintain a record of all shipments on hold, ensuring they are all stored within the correct temperature parameters and communicating the list to other departments.
- Offer leadership to more junior staff members and support to those more senior.
- Communication of relevant information, weight discrepancies, concerns regarding packaging etc.
- Working with and controlling the use of specialised packaging containing Liquid nitrogen
- Clean and prepare specialist packaging
- Ensure the fridge and freezers have sufficient stock of refrigerants
- Ensuring that all relevant cold chain requirements are maintained and documented
- Daily Observation on our temperature monitor system (Thermoclient), which is attached to all our equipment.
- Check email alarms via this system and expect action/acknowledge ASAP (by all warehouse employees) once an alarm occurs.
- Being involved on (re) qualification of our equipment and MU packaging.
