    Personal Assistant

    We’re looking for a Personal Assistant to manage the schedules and communications of our executives within the VanMoof Management team (MT). You’ll be a key point of contact between members of the MT and the rest of the company, and provide crucial one-on-one support in the daily life of our President. You’ll support all members of the MT by providing ad hoc admin support and making sure that the team stays in close communication.

    As our Personal Assistant, you’ll be expected to develop a deep understanding of the company so you can provide invaluable support to our MT. You’ll organize and maintain the executives’ day-to-day (such as administrative tasks, internal and external communications, and presentation/meeting preparations). You’ll need to have a comprehensive understanding of priorities and deadlines, so you can allocate appropriate time for meetings and defer or delegate tasks. Most importantly, you’ll identify the MT’s needs and come up with ideas to improve their way of working together.

    Next to that you will play a key role in all internal communications – ensuring that wider teams worldwide are informed of the company’s strategy, direction and key business decisions. You’ll be key in providing an effective flow of information while consistently working on improving the internal communications strategy – focusing on rolling out new initiatives to connect MT with the wider business.

We’re looking for a strong communicator, who is able to be both an active participant and a listener. You’re respectful of others, communicate constructively, and willingly support others when necessary.

    What you’ll do:

    • You’ll manage the executives’ email inbox: reading, monitoring, and responding to emails.

    • You’ll manage the executives’ calendars, and schedule their internal and external meetings.

    • You’ll make sure that background materials are received and reviewed ahead of meetings and that prep-work is completed.

    • You’ll prepare MT meetings, leadership sessions and Board’s meetings, capture actions and make sure that stakeholders follow up on action points

    • You’ll assist with research and admin work that MT requires

    • You’ll organize business trips and create travel itineraries.

    • You’ll organize MT (remote) offsites and events.

    • You’ll lead internal communication from MT to the wider VanMoof team.

    • You’ll prepare content for newsletters and presentations for quarterly all-hands meetings.

    • You’ll arrange company wide roundtables and continuously look for ways to increase and improve employee engagement.

    • You’ll be responsible for a rhythm of clear communication towards our current and new investors.

    • You’ll work closely with People Business partners to align on business/MT needs.

    • You’ll work closely with the PR team to align on social channels, events, and press needs.

    • You’ll manage our HQ Office Manager.

    What you’ll bring:

    • You have experience of working in a PA position supporting C-level.

    • You have knowledge in internal communications – corporate communications is a plus.

    • You’re proficient in Google tools (Slides, Docs, Mail etc. and Slack).

    • You have excellent time management and organizational skills.

    • You communicate clearly and constructively.

    • You can make decisions independently, and have a professional, proactive, and positive approach to work.

    • You thrive in a fast-paced working environment.

    • You’re comfortable presenting to stakeholders.

    • You can work to tight deadlines and on multiple projects simultaneously.

    • You’re an excellent communicator, with an open, transparent, and inclusive style.
