We are seeking an experienced, talented and confident individual to take on this exciting and varied EA role based in our Nieuwegein office in NL, providing support to the CEO.
Role profile summary
You will be providing close support to the extremely busy Executive, ensuring that the day-to-day management of his diary runs smoothly and efficiently. This varied and important position acts as the “face” and first point of contact for senior representatives from clients, other co-professionals as well as other parts of the WSP global business, with regular interface with our different countries in the region. The position requires a business partner mindset, a good appreciation of priorities, together with strategic planning and an excellent knowledge of the English language (written and spoken).
The ideal candidate will be a highly organised multi-tasker, with an analytical mind and the ability to prioritise effectively. You will be a high performing PA or EA in your current role with the ability to work on your own initiative, whilst being a key member of the executive team.
To provide EA support to the CEO CE.
Duties include but are not restricted to:
Organisation/facilitation and attendance at the CE Leadership and MT CE meetings.
Travel to other offices/venues may be required as necessary, for meetings and staff conferences/roadshows. Occasional international travel may be required.
Demonstrating discretion in the handling of sensitive and confidential documents.
Diary management including responding to last minute changes in scheduling, organising meeting venues and other meeting requirements.
Proactive monitoring of respective outlook e-mail inboxes, responding to e-mails and managing phone calls.
Production of documents, ranging from reports, meeting minutes, to formal client and colleague correspondence.
Numerical analytical work e.g. analysis of raw data and translating this into reports requiring accuracy and sense checking skills.
Organisation and booking of travel, both domestically and internationally in collaboration with our preferred suppliers for flights, rail travel, accommodation and where required, international visas.
General administration to include, archiving, photocopying, scanning, binding and any other ad-hoc function as required.
Expense and time management to ensure timely and efficient claiming and recording of expenses and processing of timesheets.
Attendance of meetings and note taking/minute taking as required.
Development of PowerPoint presentation documents for internal use and client presentations.
Organising internal and external client meetings and events.

Superior organisational skills; planning, prioritising and organising support with an ability to respond swiftly and with assurance to last minute changes.

A high level of detail orientation, ensuring that reports, internal and client correspondence documents are correctly formatted, spelling and grammar checked before they are issued, filing and archiving follow appropriate Quality Assurance standards.
Candidates should be fully conversant with the Microsoft suite to advanced level including Microsoft Word, Excel and PowerPoint.
An excellent knowledge of the English language (written and spoken).
