    Executive Assistant-Managing Director

    Job Description:
    As a FedEx Executive Assistant, you will be responsible for supporting one of the Legal MDs in our FedEx Express Europe Head Office, based in Hoofddorp, to perform with optimal efficiency by providing a professional and comprehensive administrative and support service.
    Key responsibilities:

    • Deal courteously and diplomatically with all levels of contact within FedEx, Customer & External organisations.
    • Plan and prioritise the evolving workload for the MD, ensuring that optimal progress is maintained and results achieved for both short term and longer term responsibilities.
    • Organise MD agenda by scheduling events in the most effective way to support achievement of their objectives, whilst accommodating the requirements of other parties involved.
    • Plan ahead for MD absence, travel and vacation communicating to stakeholders as required and developing and co-ordinating cohesive travel itineraries.
    • Provide comprehensive and efficient secretarial services including preparing information and logistics for meetings, drafting correspondence, creating, and updating reports and manuals, presentations, etc.
    • Maintain an effective and secure system to collate and manage information flows and approvals inc. for HR and Finance related information and for Expense and Invoice processing and tracking. Ensure compliance with FedEx processes and policies.
    • Provide support / cover as and when needed for other MD/VP/SVP assistants e.g., during absence or vacation.

    The ideal candidate will have:
    • Ability and willingness to work fulltime (40hrs/week)
    • Experience of providing advanced level secretarial/administrative support services in an international and dynamic corporate environment.
    • Ability to work autonomously with integrity and discretion
    • Ability to foster a culture of teamwork together with the other Legal assistants.
    • Excellent written and verbal communication skills in English.
    • Excellent planning and organising skills with experience of coordinating multiple arrangements within required timeframes
    • Good judgement and decision-making skills.
    • Quality focused, accurate with attention to detail.
    • Excellent IT skills including MS Office, financial cloud, PDSM, Image and Workday.
