    Executive Assistant (Available Immediately)

    NOTE: This position requires working in both Amsterdam or Haarlem offices depending on the duty and task of the day.

    We are launching a new exciting project: Augusk Collective, under the umbrella of Modern Made. Augusk is an online platform telling meaningful stories through the lens of food, travel, interior design, and cultural press perspectives. This will be your new home, where we are building a fresh new team full of dreamers and storytellers from scratch.

    + WHO ARE YOU LOOKING FOR?

    The Executive Assistant to the CEO provides executive, administrative, and development support to the CEO and Board of Directors. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and overseas special projects.

    + Essential/Primary Responsibilities:

    Executive Support

    - Assists the CEO with daily administrative duties and completes various administrative tasks, including managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.

    - Communicate with the general staff on the CEO's behalf and coordinate logistics with high-level internal and external meetings.

    - Communicates directly and on behalf of the CEO with Board members, donors, foundation staff, and others on matters related to programmatic initiatives as directed. (See Board Support.)

    - Conducts research on prospective corporate and foundation donors to identify and evaluate current needs and assembles materials needed for the proposals.

    - Drafts reports, letters of solicitation, and proposals; prepares and coordinates oral and written communication with donors and prospects.

    - Supports CEO in his/her external commitments related to PRB, including service on external boards, committees, and other groups.

    - Processes PRB's memberships with other organizations.

    HR Support

    - Administratively supports HR (recruiting support, document formatting, surveys set up, and other administrative tasks), and drafts emails and other PRB correspondence as directed.

    Board Support and Liaison

    - Serves as the President's administrative liaison to the Board of Directors and manages Board activities, which include coordinating semi-annual Board meetings and dinners; semi-annual Board staff lunches/receptions/new Board member orientations; arranging hotel accommodations for out-of-town Board members; processing travel reimbursement requests; and compiling, assembling, and distributing Board meeting materials. Research potential Board members for the Nomination Committee.

    - Coordinates Executive, Finance, Governance & Nominating, and Audit Committee meetings; maintains confidential files and contact information; coordinates meetings, conferences, and off-site to support the CEO agenda.

    - Maintains the Board portal (Directors Desk).

    Management Liaison

    - Participates as an adjunct member of the SLT, including assisting in scheduling and attending meetings. Represents the CEO in designated meetings as required.

    - Assists in coordinating the agenda of senior management team meetings. Prepares an account of the sessions, designates, and follows up on assigned action items.

    Secondary Responsibilities:

    • Performs other duties as assigned.
    • Oversee the training and support of PRB's Program Assistants.
    • Provide assistance as needed to front desk operations, including but not limited to answering phones, accepting packages and other deliveries, lunchtime relief, and greeting and signing in visitors/guests.

    Account Abilities

    • The position reports to the CEO and works directly with the Board of Directors.
    • Works directly with the Board Executive and Finance Committees.
    • Works directly with senior-level staff and HR both internally and externally.

    Experience & Education:

    • Bachelor's degree or equivalent experience
    • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    • Two years or more providing support for upper-level management in a related organization (ie, creative agency, hospitality, social sciences, public health).

    Skills & Abilities:

    • Excellent speaking and writing in English
    • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
    • Previous experience working with development and fundraising programs to increase donor contributions and funding sources.
    • Proficiency in Windows, including MS Word, EXCEL, and PowerPoint; fund-raising data management systems knowledge helpful.
    • Ability to learn new software such as Doodle polls and Director's Desk board portal.
    • Ability to conduct research and present data in a concise and well-written manner.
    • Ability to work independently and with professional discretion.
    • Excellent writing, editing, grammatical, organizational, and research skills.
    • Strong attention to detail on every single task
    • Ability to adapt in a fast-changing work environment
    • Ability to work with a broad range of people, including major donors, Board members, foundation staff, colleagues of the CEO and team, and others.
    • Knowledge of other languages ​​and international customs is an asset;
    • Excellent management, time management, and problem-solving skills.
    • Can drive with a clean record.
    • Must be strong to carry at least 23 kilos
    • A good eye, typography, and layout skills
    • Ability to be creative and flexible on a tight deadline
    • Technically savvy and quick to grasp new skills and software
    • Occasional travel may be involved.
