Join Sanofi as Executive Assistant for our Specialty Care business unit. In this role you are responsible for office management, providing support to, and has a pro-active function in, the execution of tasks, projects and processes for executive management.
Prepare activities of executive management by collecting and providing/distributing relevant, timely and/or additional information and/or documentation. Support executive management in the execution of day-to-day tasks and actions
Take on and execute some of the manager's responsibilities
Prioritise issues and/or information and distribute in an appropriate way
Plan and organize internal and external meetings and appointments in an efficient and effective way
Take and process meeting minutes and monitor the completion of meeting action items
Respond to (often confidential) enquiries form callers and visitors by providing information according to minimal guidelines and take appropriate actions
Oversee visitor traffic to executive management. Prepare and make travel arrangements for executive management
Oversee and/or undertake the preparation, processing and approval of documents according to internal guidelines
Compose, action, summarise, and/or analyse correspondence and reports for executive management
Process and answer (where appropriate) incoming and outgoing (e-)mail, faxes, and courier packages: arrange, undertake and/or promote timely responses if applicable
Monitor and manage office workflow and deadlines
Responsible for monitoring and administering areas such as; financial processes, accounts and budgets, projects, and departmental processes
Organise and archive (electronic) data and documents
Maintain office supplies by keeping an inventory, ordering and distributing items
Undertakes and executes specific projects and research
Play an active part in decision-making processes
May oversee and/or coach the work of more junior colleagues
Research and provide confidential information (in a variety of formats) to various senior staff members, colleagues within the organisation (locally, regionally and globally) and callers/visitors
Act as a mentor to junior colleagues
Liaise with external third parties and contractors
Liaise and works with project teams, committees and programme boards: Acts as a member of these groups if and when appropriate
Experience in a similar function within an international matrix organization
Knowledge and experience with MS Office Systems specially in Excel and PowerPoint
Organizational, sense of confidentiality, priority driven, pro-active skills
Oral and written fluency in Dutch and English
