    Executive Assistant

    About the Role

    We are looking for a self-motivated, organized and proactive individual who has some experience with technology, operations, and engineering teams within multinational and multidomain corporate environments to provide high-level administrative, operational and tactical support to our CTO and potentially a broader executive engineering team in Europe. You will partner closely with the CTO to enable his efficiency and effectiveness, serving as a key enabler for business impact. Central to the role is your ownership over complex scheduling, correspondence and communications, meeting logistics, event organizing, and project management. You will also serve as the primary liaison internally among executives and employees as well as with external partners, applying a thoughtful approach to customer service.

    Each role at Miro is based at one of our physical hubs and we look for talent who want to be part of these local, collaborative communities. Mironeers work in a hybrid model, with a 3 days a week in office culture as our baseline.

    About the Team

    The office of the CTO drives engineering and product growth for Miro and helps bring to life our company vision to enable collaboration across geographic locations. Our team is dynamic: we have colleagues in Amsterdam, London, Munich, Berlin, Austin, Los Angeles, San Francisco, and Perm and we partner across functional areas: Sales, Finance, Legal, Marketing, HR and more.     What you'll do

    • Manage complex calendar and scheduling requirements being an enabler and protector of executive time
    • Provide support for key team events, meetings, presentations and offsites, including but not limited to preparation (agenda), making notes, follow-up activities etc
    • Draft and manage executive correspondence and communications. Lead internal communications within the Engineering org on behalf of the CTO and his direct team.
    • Manage core administrative duties including arranging expenses, official documents, correspondence and ad hoc requests on behalf of the CTO
    • Act as the liaison for executives, employees, clients and other external partners, maintaining a sense of professionalism and collaboration at all times
    • Partner with internal stakeholders on projects, initiatives and events
    • Track and help drive completion of key deliverables and follow up on outstanding items
    • Help executive and his family with external activities and tasks outside work
    • Manage end-to-end travel needs, including logistics and visas, coordinating itineraries across multiple stakeholders
    • Provide ad-hoc support to Chief of Staff, Engineering for urgent/complex tasks related to engineering daily operations

    What you'll need

    • 5+ years full-time executive support, reporting to one or more executives, ideally supporting C-level executives in Product or Engineering
    • You're a self starter and love to work autonomously. You're able to identify gaps and streamline processes with little or no guidance from others. You use your initiative and excellent judgment to make decisions in an ambiguous environment.
    • Experience in a high-growth and fast changing environment preferred
    • Outstanding organizational and time management skills
    • Excellent verbal and written communication skills
    • Experience with international travel coordination
    • Fluency in English and Dutch required; additional languages preferred: Russian
    • Highly proficient in Google Apps, particularly Google Calendar, and Google Docs as well as other productivity and collaboration tools, such as slack. You're able to conduct basic data analysis using Google spreadsheets.
