    Deputy Workplace Manager

    Dyson, whether at the headquarters in Malmesbury or at one of our EMEA offices, it is growing at a rapid pace, and the estates team need to not only anticipate this growth, but also ensure that both new and existing properties are set up, operated and maintained to the expected standard. To create this positive and progressive working environment the estates team needs strong leadership and expertise in key areas – Workplace Experience is one of these areas.

    This is a key role and ultimately the right person to take on these challenges and create valuable workplace experiences for employees and a strong relationship with their Workplace Experience Management team. Helping support the daily delivery of an effortless and seamless customer experiences throughout your area.

    Engaging the latest trends, inspiration and thinking within workplace design, experience and engagement to the workplace. Observing the workplace environment and culture to identify the experiential needs across operational points.

    You will be a visible point of contact for occupier groups, visitors and all suppliers using and visiting our facilities. Critical to success will be positive interaction with stakeholders to drive an excellent user experience.

    Creating memorable experiences at every touchpoint along the work journey that foster a vibrant office environment, support creativity and innovation, and a workspace environment that is complimented with suitable design and functionality as well as facility lead services.

    About the Role

    • Working with the Workplace Management Team - to implement workplace operational standards and user experience for your region
    • To act as the custodian of the EMEA workplace team, own the user experience and represent estates in customer forums. Promote the Workplace function as a key member of the workplace team to help drive effective communication and positive relationships.
    • Contribute to and maintain your areas development plans, as well as supporting the change management process and associated SLA’s, ensuring risks are mitigated.
    • Act as the operational interface between the customer and the wider estates team.
    • Management; Ensure internal resource is suitably developed to implement the strategy effectively across your area.
    • Demonstrate clear understanding of the global Workplace Experience proposition.
    • Act as principle estates POC in area for all major internal company events.
    • Demonstrate financial awareness and understanding within project under the guidance of the workplace experience management team. Support with admin and operational cost data requirements to capture the regions current position and to review any budget variances.
    • Be the face of Dyson Workplace in your area and lead on all Workplace communication. Ensure regular and positive communication with key stakeholders and the Dyson community.
    • Support wider estates team with incident response and act as liaison with user groups.
    • Ensure all change is seamlessly delivered within the workplace from a user perspective and ensure collaboration with key delivery partners (IT, Security etc.)
    • Act as an estate’s ambassador promoting a health & safety culture across our workplaces. Support the H&S team by working alongside the Workplace Experience Manager in delivering a pro-active approach to H&S.
    • Report to Dyson any concerns from employees about Health and Safety in the workplace that may affect employees.
    • Represent team members in consultations with Health and Safety inspectors
    • Collect relevant information for the team and present as required at relevant Health and Safety committee meetings
    • Present feedback and information from relevant Health and Safety committee meetings to their team as required.
    • Ensure that the team maintains adequate representation at Health and Safety committee meetings (arranging substitute if not available etc)
    • Attend the training provided by Dyson to fulfil your role as an employee Health and Safety champion.
    • Provide and carryout any required onsite audits.
    • Encourage all those working on site to follow mandatory Dyson Security Behaviours whilst on premises and feed back to Group Security when/if security queries or problems arise.
    • Direct any concerns or observations regarding the physical security of the site to Dyson Group Security.
    • Act as a point of contact to support the visit of any technical security maintenance activity (servicing of alarm or access control systems) on site.
    • Act as a point of contact (back-up) for emergency services and Group Security in the event of an incident at (or close to) the premises.
    • Act as a point of contact (back-up) for key holding/alarm system, as trained by Dyson Group Security.
    • Work closely with the end user services team to support onsite issues and improvement plans.
    • Provide updates on reported IT performance issues.
    • Develop and Communicate any IT upgrade/installation programmes effecting stakeholders and users.
    • Create and maintain an operational manual for meeting rooms IT usage.
    • Support site users with clear direction and guidance on dealing with IT procedures.

    • Ability to demonstrate a level of professionalism in order to gain stakeholder confidence.
    • Be confident and open to sharing idea.

    Desired experience and knowledge:

    • Previous experience in a similar environment and/or facility service.
    • Manage multiple tasks and shifting priorities.
    • Analytical thinker, organised and methodical
    • Self-motivated and able to work on own initiative within a team environment
    • Good IT skills - proficiency with Microsoft package software.
    • Decisive and willingness to show initiative.
    • Working knowledge of Health & Safety practices
    • Strong administrator skills and experience in collating data in a reporting format.
