As a Business Assistant at IDEXX you will support our Customer Support (CS) leadership team, including our Sr. Director Customer Support, Europe & APO.

In This Role
Your day to day portfolio will vary from administrative support to being involved with project management. In this role you will be responsible for administrative tasks such as (but not limited to): scheduling, processing purchase orders, invoices, check requests and expense reports, preparing reports, meeting minutes and correspondence - ensuring a smooth & efficient day for the Sr. Director.
Your project management tasks may include, tracking of company assets, managing small to medium projects that support the Customer Support organization, preparing presentations – contributing to our guiding principle of Exceeding the Expectations of our Customers.
Your main responsibilities also include: Analyzing incoming meetings, defining priorities and efficiently scheduling these meetings with the right stakeholders.
Ensuring objectives, agenda points and outcome of meetings are clear in advance.
Supporting a more productive and efficient way of working within the CS organization
Managing schedules, arranging appointments and itineraries and additionally booking airline, hotel and car reservations.
Project management assistance to support the Sr. Director such as (but not limited to): preparing Town Halls, attending CS leadership meetings and writing audience specific communications.
What You Will Need to Succeed
To be successful in this role, you’ll have a positive attitude and high energy along with a proven track record of managing administrative tasks within a global matrix organization. Next to that, if you can be described as:
Having excellent organizational skills and a structured approach to bringing people together.
You should be pro-active by nature, with a high degree of reliability and attention to time and detail.
You are a natural networker, good communicator focused on priorities and an excellent project manager. If you’ve been working for an international team, even better!
You are confident using Microsoft office especially Microsoft Teams; and if you’ve used Concur & Webex that is a bonus.
A solution driven mindset and the ability to multitask.
Fluent in English – both verbal & written communication, additional languages are a bonus but not essential.
Ability to work in a hybrid environment – home working available but a willingness needed to be in the office when the business requires.
