To support our office in Hoofddorp we are looking for an Administrative Assistant.
The position of the Administrative Assistant is to support Office and Project Management in all administrative duties within well described guidelines. The administrative assistant execute all relevant processes and procedures and ensures that they are correctly executed and administered. The administrative assistant reports to the Assistant Manager.
Principal Job Duties & Responsibilities:
Organize and schedule meetings
Prepare meeting agendas, ensures timely communication to all participants and collects relevant documentation.
Book business travel arrangements, including flights, transportation, and lodgings for (senior) management and other staff members
Maintain office correspondence
Maintaining social media presence
Perform reception duties such as answering phones where necessary
Manage the diaries and schedules of senior management
Maintain electronic filing system, ensuring processes and software are up to date and in working order
Prepare and deliver/distribute monthly standard reports
Follow-up the administration of contractual matters
To be Considered Candidates:
Must be authorized to work in the country where the position is located.
Basic Job Requirements
Relevant work experience
Full understanding of Office Software
Excellent communication skills in English, both written and verbal, Dutch is an advantage
Ability to focus on details and work in a time-conscious and time-effective manner
